Frequently Asked Questions (FAQ)
What is Seattle AI Week?
Seattle AI Week is a community-powered series of events showcasing the innovation and real-world impact of AI across the Pacific Northwest. From October 27–31, 2025, organizations of all kinds will host panels, workshops, socials, and more—celebrating AI’s role in tech, business, art, science, and beyond.
Who can host an event?
Anyone! We welcome companies, startups, universities, nonprofits, artists, investors, community orgs, and more. If you’re doing something interesting with (or about) AI, this is your stage.
How do I host an event?
- Submit your idea using this form.
- Email Lainey Gaffney at WTIA (lgaffney@watech.org) to confirm it was received.
- We’ll follow up with next steps, including how to get added to the calendar.
Are there guidelines for hosting?
Yes. Here’s the quick version:
- Events should be aligned with the spirit of AI Week—community-driven, inclusive, and educational.
- Free events should be free to attendees.
- Ticketed events are okay, but pricing should aim to cover costs (not maximize profit).
- Hosts are responsible for their own logistics (venue, food, speakers, etc.), though we’re happy to connect you with resources.
- Events must be submitted through the official form—not directly to Luma.
Is my event automatically added to the calendar?
Nope. We review all submissions to ensure they meet our basic guidelines. Once approved, you’ll receive instructions to add your event to the official Luma calendar.
Can I charge for tickets?
Yes, but the goal should be cost recovery—not major profit. Think: venue fees, food, materials, etc.
Can I host a private or invite-only event?
Yes! While we encourage open, public events, we understand some formats (like investor dinners or roundtables) are better suited for a closed audience. Just let us know in your submission form.
Can I host a virtual or hybrid event?
Absolutely. We encourage in-person events when possible—but we know virtual or hybrid formats can expand access and flexibility.
Will you help promote my event?
Yes—we’ll list approved events on the official Seattle AI Week calendar, and we’ll highlight select events on social media and email. We also encourage you to promote your event using our logos and social media toolkit (coming soon!).
What kind of data do you need from me afterward?
We’ll ask for:
- Total number of registrants and attendees
- General breakdown of attendee types (e.g. Tech, Investor, Academia, etc.)
We don’t need contact info—just enough to help tell the story of the week’s impact.
